Salary: $44,000 to $49,000 per year

About the position
Harbourlight Community Services is a fictional non-profit organization that provides community programs, information and referrals. As our receptionist, you will often be the first person visitors, callers and community partners contact. You will help people feel welcome, provide basic information and connect them with the appropriate staff member or service. You will work with the administration team and report to the Office Manager.
What you will do
- Welcome visitors, answer general questions and connect them with the right staff member or service
- Answer phone calls and emails and provide basic information about our programs
- Schedule appointments, reserve meeting rooms and share messages with staff
- Receive, sort and distribute mail, deliveries and documents
- Prepare simple letters, forms and other administrative materials
- Update electronic and paper records while protecting confidential information
- Help keep the reception area organized, welcoming and accessible
- Identify the staff member who can help when you do not know the answer
What you need
- Experience providing customer service or administrative support
- The ability to communicate information clearly and respectfully
- The ability to organize appointments, messages and documents
- The ability to use email, calendars and basic office software after training
- The ability to manage several requests and recognize which need attention first
- An understanding of how to protect private and confidential information
Experience may come from paid work, volunteer work, education, community involvement or another relevant setting. You do not need a university or college degree. You do not need a driver's licence.
It would be helpful if you have
- Experience working in a community or non-profit organization
- Experience using Microsoft Outlook or Microsoft 365
- Experience using an appointment-booking or client-record system
- Experience communicating in French, American Sign Language or another language
We will provide training on our programs, procedures and technology.
Work environment
- Position based at the reception desk in our St. John's office
- Work on site five days each week
- Office features: step-free entrance with automatic doors, accessible washroom, adjustable-height reception desk, adjustable task lighting, elevators to all floors, bookable quiet rooms, and a scent-reduction policy
- Reception area is near the main entrance and can become busy during program-registration periods
- Background noise from telephone calls, conversations and visitors may occur
- Employees can use the reception desk while seated or standing
- Additional workstation adjustments and accommodations available based on individual needs
Salary and benefits
- Salary range: $44,000 to $49,000 per year
